Cancellation, Rescheduling & Refund Policy

This Cancellation, Rescheduling & Refund Policy applies to services and digital products purchased from Healthy Habits Coaching.
Please review this policy before purchasing or scheduling a service. By completing a purchase, you acknowledge the cancellation, rescheduling, package and refund terms presented to you at checkout or in connection with the service purchased.
Nothing in this policy is intended to eliminate any refund, cancellation, chargeback, or other consumer right that cannot lawfully be waived.
1. Coaching Appointments
Healthy Habits Coaching reserves appointment time specifically for each client.
Cancellation or Rescheduling With At Least 24 Hours' Notice
A coaching appointment may generally be canceled or rescheduled at least 24 hours before the scheduled starting time without a late-cancellation fee.
For a prepaid package, timely cancellation or rescheduling means that the session will generally remain available in the client's package. It does not automatically entitle the client to a refund of the package.
For a single-session purchase, a timely cancellation may be rescheduled or may qualify for a refund if requested and if the session has not otherwise been provided, subject to the terms disclosed at purchase and applicable law.
Cancellation With Less Than 24 Hours' Notice
Except where otherwise required by law or expressly approved by Healthy Habits Coaching, an appointment canceled less than 24 hours before its scheduled starting time will be treated as a late cancellation.
For prepaid packages, the scheduled session may be deducted from the package and treated as used.
For individually purchased sessions, the session fee may be retained as a late-cancellation charge.
This policy reflects the professional time reserved for the client and the limited opportunity to offer that appointment time to another client.
No-Shows
A client who does not attend a scheduled appointment and has not provided timely cancellation notice will be considered a no-show.
A no-show session will generally be considered used and will not be refunded or credited, except where otherwise required by applicable law or where Healthy Habits Coaching chooses to make an exception.
For online sessions, failure to join the agreed Zoom or other scheduled platform during the appointment period may constitute a no-show.
2. Late Arrival
Clients are responsible for joining online appointments on time.
If you arrive late, the session may still end at the originally scheduled ending time so that subsequent appointments are not disrupted.
A shortened session resulting from the client's late arrival does not ordinarily qualify for a full or partial refund.
If a client is substantially late and cannot reasonably complete the scheduled session, Healthy Habits Coaching may treat the appointment as a late cancellation or no-show.
3. Coaching Packages
Purchasing a coaching package reserves access to the number of sessions or services described at the time of purchase, subject to the package terms.
Canceling or rescheduling one appointment does not cancel the entire coaching package.
The package price may include a discount compared with purchasing the same services individually. Package discounts are provided in consideration of the client's purchase of the package rather than individual sessions.
If Healthy Habits Coaching permits a client to terminate a partially used package and approves a refund, the refund may be calculated by:
Amount paid − value of services already provided − any applicable non-refundable amounts clearly disclosed before purchase = potential refund balance.
Where the package was purchased at a discounted rate, completed or used sessions may be recalculated at the regular individual-session price that was disclosed or in effect when the package was purchased, provided that this pricing method was clearly disclosed to the client before purchase and is permitted by applicable law.
The resulting balance, if any, would then be the amount potentially eligible for refund.
Example
Suppose the regular individual-session price is $150, while a five-session package costs $600.
If the client completes three sessions and then requests cancellation:
Package purchase: $600
Value of 3 completed sessions at regular rate: 3 × $150 = $450
Potential remaining refundable amount: $150
The client would not receive $240 simply because three-fifths of the discounted package was used.
This example is illustrative only. The actual price and refund calculation applicable to a package will depend on the terms disclosed when it is purchased.
4. Package Expiration
If coaching packages have an expiration period, the exact expiration period will be clearly disclosed before purchase.
For example, the checkout or service agreement should say:
“This package must be used within 6 months of purchase.”
Do not put “typically 3–6 months” in your legal policy. That is ambiguous. Choose the actual validity period for each package and disclose it before payment.
Unused appointments remaining after the disclosed expiration date may expire and may not be refundable or transferable, to the extent permitted by applicable law.
Healthy Habits Coaching may extend a package expiration date at its discretion because of documented illness, emergency, pregnancy, hospitalization, military obligations, or another exceptional circumstance. Granting an extension in one situation does not require an extension in another situation.
5. Requests to Cancel a Coaching Package
A client who wishes to discontinue a prepaid package should contact Healthy Habits Coaching in writing.
Stopping participation, failing to schedule appointments, failing to attend appointments, or ceasing communication does not by itself create a right to a refund.
Refund requests will be evaluated according to the package terms disclosed at purchase, the services already provided, discounts applied, materials already delivered, applicable cancellation charges, and applicable law.
Healthy Habits Coaching does not guarantee that an unused portion of every package will qualify for a refund.
Nothing in this provision affects rights that cannot legally be waived.
6. Completed Services
Once a coaching session has been completed, the fee for that session is earned and generally non-refundable.
Dissatisfaction with a recommendation, disagreement with coaching guidance, failure to follow recommendations, or failure to achieve a particular health, behavioral, laboratory or weight-related outcome does not by itself create a right to a refund for services already properly provided.
Healthy Habits Coaching does not guarantee specific health or weight-management results.
This provision does not limit rights or remedies that cannot legally be waived.
7. Digital Products and Downloadable Materials
Digital products may include eBooks, worksheets, meal-planning materials, educational guides, recorded content and other downloadable or electronically delivered resources.
Except where otherwise required by applicable law, digital products are generally final sale once the product has been delivered, accessed or downloaded.
If a purchaser experiences a legitimate technical problem that prevents access, Healthy Habits Coaching will make reasonable efforts to restore access or provide the purchased material through another reasonable method.
A technical problem does not automatically require a refund if the purchased material can reasonably be provided.
Nothing in this section limits a consumer's rights concerning materially defective, misrepresented or undelivered products under applicable law.
8. Group Programs, Workshops and Webinars
Unless different terms are disclosed before purchase, cancellation of participation in a group program, webinar or workshop must be requested at least 7 calendar days before the scheduled start date to be considered for a refund.
After that deadline, registration fees are generally non-refundable because program capacity, preparation and resources may already have been committed.
Once a program has begun or digital program materials have been accessed or delivered, payments are generally non-refundable except where required by applicable law.
If Healthy Habits Coaching cancels a paid program without providing a reasonable replacement or rescheduled option, affected clients will generally receive an appropriate refund for the service that was not provided.
9. Medical Conditions and Emergencies
We recognize that unexpected circumstances occur.
A serious illness, hospitalization, family emergency or similar event does not automatically create a contractual right to a refund, but Healthy Habits Coaching may, in its reasonable discretion, offer a rescheduled appointment, package extension, account credit or refund where appropriate.
Documentation may be requested when reasonably necessary.
Clients should not disclose unnecessary medical details when requesting an exception.
Nothing in this section limits rights provided by applicable law.
10. When Healthy Habits Coaching Cancels
If Healthy Habits Coaching cancels an appointment, the client will generally be offered the opportunity to reschedule without penalty.
If Healthy Habits Coaching is unable to provide a prepaid service and a reasonable replacement cannot be arranged, the client will be offered an appropriate refund or credit for the service that Healthy Habits Coaching did not provide.
A client will not lose a package session because Healthy Habits Coaching canceled the appointment.
11. Technical Problems With Online Sessions
Healthy Habits Coaching provides services remotely, including through platforms such as Zoom.
If a significant technical problem attributable to Healthy Habits Coaching prevents a scheduled session from being meaningfully provided, we will generally reschedule the affected portion or session without additional charge.
Temporary technical problems that can reasonably be corrected during the session do not automatically create a right to a refund.
If a client's internet connection, device, software or other client-side technical issue prevents attendance, the normal cancellation/no-show rules may apply. Healthy Habits Coaching may nevertheless offer rescheduling when reasonable under the circumstances.
12. WhatsApp, Email and Between-Session Communication
Unless a purchased program expressly states otherwise, ordinary administrative messages, appointment communications or brief coaching-related communications do not create additional refundable coaching sessions or extend package expiration dates.
The scope of any between-session support included in a package will be described with that service.
13. Promotional Prices, Coupons and Discounts
Refunds are based on the amount actually paid, not the undiscounted advertised value of the package.
Coupons, promotional discounts and complimentary services have no independent cash value.
Where permitted by applicable law and disclosed before purchase, terminating a discounted package after partial use may result in completed sessions being valued at the applicable regular individual-session rate when calculating any remaining refund.
14. Transfers
Coaching sessions, packages, account credits and promotional offers are intended for the individual who purchased or received them and are not transferable to another person unless Healthy Habits Coaching agrees otherwise in writing.
15. Chargebacks and Payment Disputes
Clients are encouraged to contact Healthy Habits Coaching promptly if they believe a billing error has occurred.
Filing a payment dispute or chargeback does not change whether a service was provided, an appointment was missed, or a payment was otherwise legitimately due under the agreed terms.
Healthy Habits Coaching may provide the payment processor or financial institution with relevant transaction records, including purchase confirmations, applicable policies, appointment records, cancellation communications and evidence that services or digital materials were provided, as reasonably necessary to respond to a payment dispute and as permitted by applicable privacy law.
Nothing in this section restricts a consumer's lawful right to dispute an unauthorized, erroneous or otherwise legally disputable charge.
16. Recurring Payments and Subscriptions
Unless expressly stated at checkout, purchasing a coaching package does not authorize Healthy Habits Coaching to charge the client's payment method automatically for another package.
If Healthy Habits Coaching offers a subscription or automatically renewing service in the future, the recurring price, billing frequency, renewal terms, minimum commitment if any, and cancellation procedure will be clearly disclosed before purchase, and required consent will be obtained.
New York currently requires businesses offering automatic-renewal or continuous-service arrangements to clearly disclose material renewal and cancellation terms and obtain affirmative consent. Recent New York enforcement actions have required businesses to provide effective cancellation mechanisms and appropriate renewal disclosures.
17. Refund Processing
Approved refunds will generally be returned to the original payment method, where reasonably possible.
Processing times depend on the payment processor, bank or card issuer and may be outside Healthy Habits Coaching's control after a refund has been submitted.
A refund request must include sufficient information for us to identify the transaction, such as the purchaser's name, email address, purchase or appointment date and the service involved.
Do not include unnecessary medical information in a refund request.
18. How to Cancel or Request a Refund

We generally aim to respond within 3–5 business days.
Submitting a refund request does not itself mean that a refund has been approved.
19. Changes to This Policy
Healthy Habits Coaching may update this policy from time to time.
Changes will apply prospectively from the effective date of the revised policy.
A later policy change will not retroactively replace material financial terms that governed an already completed purchase where doing so would be prohibited by applicable law.
20. Applicable Law
This policy is subject to applicable federal law and the laws of the State of New York, including applicable consumer-protection requirements.
Nothing in this policy is intended to waive a right or remedy that cannot lawfully be waived.
